✅ 1. Adding a Commission or Project
You can add a new commission or project in two ways:
- From the Dashboard → click the “Add Commission” or “Add Project” button at the top.
- From the Commissions or Projects pages → click the Add button at the top of those pages.
When creating a new commission or project, you’ll:
- Select a client (this links the work to them)
- Give it a title
You can also add optional details, such as:
- A description or details about the work
- A deadline
- A timeline (how many days you expect it will take)
- A price
💡 If you set a deadline and a timeline, the app will automatically calculate a recommended start date for you.
✅ 2. Viewing & Editing Commission & Project Records
You can access any commission or project from:
- The Commissions or Projects tabs on the Dashboard
- The Commissions or Projects pages
Each commission or project record shows:
- The details you entered when creating it
- The start date (hidden from clients)
- Its current status
- A notes section (hidden from clients)
- Any tasks you’ve assigned (also hidden from clients)
- A quotes & invoices section
From here, you can:
- Edit the record
- Archive it (to remove it from active lists but keep the history)
- Or delete it (only possible if no linked records remain)
✅ 3. Assigning & Managing Statuses
When you first create a commission or project, it’s set to “Enquiry” by default.
You can:
- Change the status to something like Pending, Scheduled, In Progress, Completed
- Create custom statuses, give them their own colors, and delete ones you don’t need anymore
Clients will see the status in their portal so they know what stage their project is at.
✅ 4. Adding Notes
The Notes section lets you record any private notes about the commission or project.
These notes are for your eyes only—clients will not see them in their portal.
✅ 5. Adding Tasks
Each commission or project has its own Tasks section, where you can:
- Add standard tasks or create new custom tasks
- Delete custom tasks you no longer need
- Mark any task as a Priority task, which will always appear at the top of task lists (on the Tasks page and the Day Planner) regardless of start date or deadline
Clients do not see these tasks in their portal—they’re for your planning only.
✅ 6. Quotes & Invoices
In the Quotes & Invoices section you can:
- Add a quote linked to the commission or project
- If your quote includes a deposit, the app will automatically generate an invoice for the remaining balance
- If your quote doesn’t include a deposit, it will generate an invoice for the full amount
- Create an invoice directly, without a quote, if needed
Clients will only see quotes and invoices when you toggle them visible, giving you full control over when they can view and pay.
✅ 7. Archiving or Deleting
- Archiving → Hides the commission or project from your active list but keeps the record (and linked quotes/invoices) intact.
- Deleting → Removes the record completely, but only allowed if there are no linked quotes, invoices, or other records
✅ 8. What Clients See
When clients log into their portal, they’ll see:
- The commission or project title
- Its status (Pending, Scheduled, In Progress, etc.)
- Any quotes or invoices you’ve chosen to show them
They won’t see:
- Your internal start date
- Your timeline calculation
- Your notes
- Your tasks
This keeps your planning private while still keeping them informed.
