5. Tasks, Custom Tasks & Priority Tasks

Tasks help you organise the workflow for each commission or project so you always know what needs to be done next. They’re your private checklist—clients will never see them in their portal.

✅ 1. What Are Tasks?

Tasks are the steps you need to complete as part of a commission or project.

  • For example:
    • Responding to an initial enquiry
    • Preparing sketches or drafts
    • Sending a preview to the client
    • Packaging or delivering the final work

When you add a task, it appears with a tickbox next to it.

  • When you finish it, simply check it off
  • The task stays visible but shows a strikethrough, so you can still see what’s been completed as part of the workflow

✅ 2. Default & Custom Tasks

Freehand includes a few default tasks to get you started, like:

  • Respond to Enquiry
  • Send Quote

But you can also:

  • Add custom tasks that fit your own specific workflow
  • Delete any custom tasks you no longer need

This makes the task list flexible and tailored to the way you work

✅ 3. Priority Tasks

Some tasks need to be handled before the commission or project officially starts—for example, responding to an enquiry before creating a quote.

For tasks like these, you can mark them as Priority Tasks.

  • Priority Tasks always appear at the top of your task lists, regardless of start date or deadline.
  • This means on the Tasks Page and Planner Page, you’ll always see them first and can action them before anything else.

💡 This is especially useful for early workflow steps, like responding to enquiries or preparing quotes.

✅ 4. How Tasks Are Organised

  • On the Tasks Page and Planner Page, tasks are normally sorted by start date.
  • But Priority Tasks are pinned to the top so you never miss them.
  • Once marked complete, tasks remain visible with a strikethrough, so you can always review what’s been done.

✅ 5. Adding & Managing Tasks

  • Go to the commission or project record
  • Scroll to the Tasks section
  • Add tasks as needed
  • Mark tasks complete when finished
  • Mark any important tasks as Priority

It’s a simple way to keep all your workflow steps clear and easy to follow.
