8. Adding & Managing Quotes

Quotes let you provide your client with a clear description of the work, price, and deadline before starting a commission or project. They make it easy for your client to review and confirm details, and optionally pay a deposit to secure the booking.

✅ 1. Adding a Quote

Once you’ve created a commission or project, you can add a quote by:

  • Opening the commission or project record
  • Clicking the “Add Quote” button at the bottom of the page

A quote typically includes:

  • Work details – a description of what’s included
  • Price – the cost of the commission or project
  • Deadline – when the work will be completed
  • Any other important information you want your client to see

💡 Quotes are hidden from clients by default, so you can prepare them early and make them visible at the right time.

✅ 2. Optional Deposit & Payment Link

When creating a quote, you can:

  • Specify a deposit amount required to secure the booking
  • Add a Stripe payment link so the client can pay directly from their portal
  • Choose a custom label for the payment button (e.g. “Pay Deposit”)

When you request a deposit:

  • The app will automatically create a linked invoice showing the remaining balance
  • If no deposit is requested, the invoice will show the full amount

(You’ll need a Stripe account to receive payments.)

✅ 3. Quote Status

When you first create a quote, it’s set to Pending by default.

The quote’s status is visible:

  • Inside the quote itself
  • On the Dashboard
  • On the Quotes page
  • On the associated Client’s page (next to their commissions or projects)

✅ 4. How Clients View & Accept Quotes

When you’re ready, you can toggle the quote to be visible in the client’s portal.

The client will see:

  • All the work details, price, and deadline
  • The Accept and Decline buttons
  • The payment button (if you added one for the deposit)

When the client clicks:

  • Accept → the quote status changes to Accepted, and the linked commission or project status automatically updates to Scheduled
  • Decline → the quote status changes to Declined
  • Payment button → a secure Stripe payment page opens so they can pay safely online

Once the client pays, the payment button is automatically disabled.

✅ 5. Recording Deposits

When you’ve received the deposit payment, you can:

  • Click the Deposit Paid button at the top of the quote (not visible to clients)
  • This records the payment across the linked commission/project and updates the Dashboard

✅ 6. Editing or Deleting Quotes

At the top of the quote page, you’ll find:

  • Edit button → update the quote details
    • In Edit mode you can choose to save the quote as a template for later use
  • Delete button → remove the quote if it’s no longer needed

✅ 7. Manual Status Updates

If needed, you can manually mark a quote Accepted or Declined yourself:

  • At the top of the quote, you’ll see Accept and Decline buttons that only the artist can see
  • This is useful if you’ve agreed offline with the client and just want to update the system

✅ 8. What Happens After Acceptance

  • Once a quote is accepted, the linked commission or project status automatically changes to Scheduled
  • If a deposit was required, the linked balance invoice is already ready in the system for when the work is complete
