9. Adding & Managing Invoices

Invoices make it easy to request payment for your work. They’re linked directly to a commission or project, and can either be auto-generated from a quote or created manually as a standalone invoice.
Like quotes, invoices remain hidden from clients by default until you’re ready for them to view and pay.

✅ 1. How Invoices Are Created

There are two ways invoices are created in freehand:

  • Automatically from a Quote
    • When you create a quote, a matching invoice is also created.
    • If your quote includes a deposit, the invoice will show the remaining balance.
    • If your quote doesn’t include a deposit, the invoice will show the full amount.
  • As a Standalone Invoice
  • You can manually create an invoice with or without a payment link button anytime by:
    • Opening the commission or project record
    • Scrolling to the Quotes & Invoices section
    • Clicking “Add Invoice”

✅ 2. Viewing Invoices

You’ll find all existing invoices (and quotes) in the Quotes & Invoices section at the bottom of the commission or project record page.

From here, you can:

  • Open any invoice
  • Edit or delete it
  • Toggle its visibility for the client

✅ 3. Editing an Invoice

When you open an invoice, you’ll see an Edit button at the top. From there, you can:

  • Update invoice details (price, description, etc.)
  • Add your business name and contact details in a header (optional)
  • Add a Stripe payment link (optional)
  • Save the invoice as a template for future use

💡 If you’re using a different payment method, simply leave the payment link empty—it won’t display for the client.

✅ 4. Invoice Status

When an invoice is created, it’s set to Pending by default.

The status is visible:

  • Inside the invoice itself
  • On the Dashboard
  • On the Quotes & Invoices pages
  • On the associated client’s record

✅ 5. What Clients See

When you toggle an invoice to be visible, the client can view it in their portal.

  • If you added a Stripe payment button, they can pay securely online through Stripe.
  • If no payment link was added, the invoice will simply show the amount due and any notes you’ve provided.

✅ 6. Marking an Invoice as Paid

When you’ve received the payment:

  • Open the invoice
  • Click the “Paid” button at the top (this is hidden from clients)
  • The invoice status will change to Paid
  • The payment will also be recorded in:
    • The linked commission or project record
    • The client’s record
    • The Dashboard

✅ 7. Deleting or Archiving

  • You can edit or delete any standalone invoice if it’s no longer needed.
  • Invoices linked to quotes are best managed by updating or deleting the associated quote.

✅ 8. Summary of Workflow

  • Create a quote → invoice auto-generates
  • Or create a standalone invoice manually
  • Keep it hidden until you’re ready for the client to see it
  • Add a Stripe payment link for easy, secure payment
  • When payment is received, mark it as Paid and it will update across all linked records
