✅ 1. How Clients Access the Portal
- You can invite your clients to sign up to freehand.
- They’ll create an account, confirm their email address, and then log in.
- Once logged in, they’ll see a limited version of freehand tailored for clients.
✅ 2. What Clients Can See
When logged into the portal, your client can view:
- A simplified dashboard showing their commissions, projects, quotes and invoices
- Commission & Project records, including:
- The title
- The status (e.g. Enquiry, Scheduled, In Progress, Completed)
- Deadlines and other visible details
- Any payment statuses, such as Deposit Paid or Invoice Paid
- Quotes & Invoices
They cannot edit any records or see your private notes, tasks, timelines or start dates.
✅ 3. Quotes in the Portal
Quotes remain hidden by default.
When you’re ready, you can make them visible, and then the client can:
- See the quote details (work description, price, deadline)
- See the quote status (Pending, Accepted, or Declined)
- Click Accept or Decline directly from their portal
- If you’ve added a Stripe payment link, they can also pay the deposit securely online
Once they accept a quote, the linked commission or project status automatically updates to Scheduled.
✅ 4. Invoices in the Portal
Like quotes, invoices are also hidden by default.
When you make an invoice visible, the client can:
- View the invoice details
- See the invoice status (Pending or Paid)
- Pay securely online via the Stripe payment button (if implemented)
When you record a payment as Paid, the updated payment status will also appear:
- On the client’s Dashboard
- On their commission or project record
✅ 5. Message Centre
- By default, the Message Centre is hidden for clients.
- If you choose to toggle it on, the client will see a messaging section inside their commission or project record where they can chat with you directly.
- If you prefer to email your clients, simply leave it toggled off.
✅ 6. Archiving & Deleting
- If you archive a commission, project, or any other record, it will also be archived in the client portal.
- The client can still view it by clicking the View Archive button on their Commissions or Projects pages.
- If you delete a record entirely, it will be removed from the client’s portal too.
✅ 7. Client Account Settings
Clients also have their own Account page where they can:
- Update their profile details (except their email address, which stays linked to their account)
- Change their password
- Delete their account if they wish
✅ 8. Why the Client Portal is Helpful
The Client Portal keeps your clients informed without extra admin work for you:
- They can see project statuses anytime
- They know exactly what stage their commission is at
- They can accept quotes and pay invoices online securely
- They can revisit archived work if needed
This saves time for both you and your client, keeping everything clear and transparent.
